Proposal - Proposal States

Overview

Proposal Development documents go through a comprehensive workflow once they are submitted for review. The Kuali Research system tracks various states that a Proposal can be in while being developed and during the routing process.

Proposal State Definitions

• In Progress: Proposals in this state have not been submitted to sponsor yet.  They are still editable, and must be submitted for review by a user with the Submit ProposalDevelopmentDocument permission in order to begin routing.
• Revisions Requested: Proposals that have been returned to the initiator by an approver or OSP staff person will be in the Revisions Requested state. These Proposals are editable and must be submitted for review by a user with the Submit ProposalDevelopmentDocument permission in order to re-enter routing.
• Approval Not Initiated - Submitted: Proposals that were submitted to sponsor during routing, and then subsequently returned to the initiator for revisions. These Proposals are editable and must be submitted for review by a user with the Submit ProposalDevelopmentDocument permission in order to re-enter routing.
• Approval Pending: Proposals that are enroute, but have not yet received all necessary approvals to be finalized, and have not been submitted to sponsor.
• Approval Pending - Submitted: Proposals that do not yet have all approvals necessary to be finalized, but have been submitted to sponsor.
• Approved and Submitted: Proposals that collected all necessary approvals to go into a final status, and were then submitted to sponsor.
• Approved Post-Submission: Proposals that were submitted to sponsor before all approvals necessary to put the document into a final status were collected, but now has all necessary approvals.
• Approval Granted: Proposals that were fully approved, but have not yet been submitted to sponsor if the option to automatically submit to sponsor is turned on. This can happen if the final approver doesn't have permission to submit a Proposal Development document to sponsor.
• Approved: Proposals that were fully approved, but have not yet been submitted to sponsor when the option to automatically submit to sponsor is turned off.
• Cancelled: Proposals that have been Cancelled. This is an unchangeable status.
• Disapproved: Proposals that were Disapproved by someone in the routing chain. This is an unchangeable status.
• Disapproved Post-Submission: Proposals that were submitted to sponsor and then subsequently Disapproved by someone in the routing chain. This is an unchangeable status.
• Document Error Occurred: Proposals where a technical error happened during routing.
