The Kuali Research system allows institutions to store all of their unit approvers, and administrators in the Unit Administrator table. This allows institutions to control workflow, permissions, and notification receipt from a single maintenance table. These users also display in the Proposal Development, Institutional Proposal and Award modules, streamlining the task of finding the primary approvers and admins for the Lead Unit on a given grant. The Unit Administrator Table
To review the Unit Administrators listed in your institution's Kuali Research instance go to:
System Admin Portal > Maintenance > Shared > Unit Administrator
From this screen you can search by KC Person, Unit Administrator Type, or the Unit of your Administrators. For more information on setting up Unit Administrator Types see the article Cross Module - Setting Up Roles for Unit Administrator Types article.
You cannot edit a Unit Administrator record. If you need to change which Unit Administrators are assigned to a given unit you can lookup the Unit and delete out of date records, then add new Unit Administrators as appropriate.
To add a new Unit Administrator entry click on the create new button and complete the following fields.
- Description: Enter a description per your institution's naming standards.
- Unit Administrator Type Code: This field is linked to a lookup of the available Unit Administrator Types in the system. You can lookup the Unit Administrator Type by clicking on the magnifying glass icon next to the field or enter the Unit Administrator Type Code directly.
- KC Person: This field accepts Principle Name from the Kuali Person table. You can lookup a person by clicking on the magnifying glass icon next to the field, or enter their Principle Name directly.
- Unit Numer: This field is linked to the Unit table. You can lookup a Unit by clicking on the magnifying glass icon next to the field or enter the Unit Number directly. If you selected a Unit Administrator Type that is setup to not allow multiples you will only be able to finalize your Unit Administrator if there are no other entries with your selected Unit Administrator Type in this Unit.
When you have entered the information in the fields above press the submit button at the bottom of the screen.
Unit Administrator Display in Proposal Development
In the Proposal Development document you can see the Unit Administrators for any participating Unit by navigating to the Personnel screen, and then clicking on one of the Unit links listed in your Personnel entries.
Once you click on one of the Unit Numbers a new window will display that shows details about the Unit including all of their Unit Administrators.
Unit Administrator Display in Institutional Proposal and Award
In the Institutional Proposal and Award document you can list Unit Contacts at the individual project level. The system allows you to import from the Unit Admin table to minimize manual data entry. To pull the Unit Administrator entries into your IP or Award navigate to the Personnel section of your document and expand the Unit Contacts panel. In Institutional Proposal you will press the sync all button. In award you will press the sync to lead unit button. All Unit Administrators in your Lead Unit with a Unit Administrator Type with the U Group Flag will appear in the Unit Contacts panel. These entries can be modified by the person working on the document. All Unit Administrators in your Lead Unit with a Unit Administrator Type with the C group flag will appear in the Central Administration Contacts panel. The entries on this panel can only be changed by changing the Unit Administrator maintenance table and syncing contacts in the document again.
