During the lifecycle of an IRB, IACUC, or IBC protocol an institution's protocol form may change. Previously, a protocol was locked into the template it was created under and could not be updated to later templates. Now you can apply template changes to prior protocols with this new functionality!
Within the General section of the Configuration screen (IRB, IACUC, and IBC) you will now see the below configuration options (by default these are disabled). These configurations allow you to apply the active template to prior protocols based on the template version specified. So any templates created under that template or later would be updated to the new template once an Amendment or Amend/Renew action is taken on the protocol.
You'll also notice that the duplication configuration has changed from Allow duplication of protocols using a template with Active Status to Allow duplication of protocols using a template with Active Status or configured to update. So this will allow the duplicate functionality to work in conjunction with this new protocol template update functionality. Previously if you enabled duplication it would only allow you to duplicate protocols that were on the current/active protocol. Now if you turn on the template update functionality then you can duplicate any protocol using a template equal to or later than the Protocol template version configured here. More information on duplication functionality can be found here.
Before enabling these configurations please read through the Protocols - Update Protocol Template on Amendment article that explains the functionality further. Also, we might suggest enabling in your lower environments first to confirm prior to updating in PRD.
Also, some of these configs are specifically associated with the Admin Form - if you don't see those options in your configuration screens it likely has not be enabled. More information on this functionality and how to request it be enabled can be found in Protocols - Admin Only Form article.
