Protocols - Duplicate Protocols

Study teams with high volumes of research who have multiple protocols with similar information are often spending a lot of time entering the same information into multiple protocols. This functionality will enable them to duplicate protocol application content and reduce the amount of time entering repetitive information.  This feature is available for configuration in each office's configuration page and is off by default.

Configuration Required

You must enable the configuration option in your IRB Configuration, IACUC Configuration, and IBC Configuration pages of Allow duplication of protocols using a template with Active Status or configured to update. This configuration can be utilized in conjunction with the Update Protocol Template on Amendment functionality.  If this duplicate configuration is enabled and the duplicate protocol template function is turned off users are only allowed to duplicate protocols using the most recent/active protocol template. If you turn on the template update functionality then users can duplicate any protocol using a template equal to or later than the Protocol template version configured. When users duplicate their protocol the template update message will display before they begin editing their form.

How Duplication Works

Once the above configuration is enabled the 'Duplicate as New' button will be available on Protocols.  Please keep in mind the following with the duplicate action:

• Users with edit capabilities are able to duplicate protocols using an active template.
• Form data is copied to a New, Initial protocol.
• New protocol is created using the most recent Active version of the protocol if not utilzing the Update Protocol template configuration. If you turn on the template update functionality then they can duplicate any protocol using a template equal to or later than the Protocol template version configured.
• Activity log entries are added to both protocols.
• If the protocol is using an inactive template (and you have not enabled the Update Protocol template config with this version or later), the Duplicate button will be visible, but disabled.
