Overview
When a project is created or saved in one of the linked Sponsored Programs modules it is pushes to the Conflict of Interest module, thereby updating any impacted disclosures, and triggering the disclosure requirement notifications if appropriate. It is also possible to push all projects in the Sponsored Programs modules to Kuali COI in a single batch action.
Reasons for Bulk Project Push
Populating Projects After a Data Conversion
When grant documents are created by the APIs they do not push to COI. Some institutions don't want historic records from data conversions to populate COI disclosures, while other institutions want all their historic records to populate COI disclosures if they are still active, so researchers are able to update them and maintain their annual disclosure for the duration of project activity. The bulk project push allows individual institutions to decide if they want all of their projects to populate COI, or only projects that are created or updated after their initial data conversion and implementation.
Implementing New Functionality
Over the life of the Conflict of Interest module Kuali has expanded project based functionality. Institutions who initially implemented COI before the Disclose once at Proposal and Carry Disclosure Over to Award feature was released, or before all of the current project data was available in COI might want to re-push their projects so that this new data or functionality is available when researchers update their disclosures.
Run a Batch Project Push
To execute a batch project push first navigate to the All Links page on the Research Dashboard. Please note the user must have the 'Use Project Push for COI' permission within a role to take this action (as default it's part of the 'Technical Administrator' role).
Search for Project Push to COI and click on the search result.
Confirm that you want to push all projects to COI.
This process will process in the background while the application continues to run, and depending on the number of grant documents in your system may take several hours. Due to the time it takes for projects to push to COI this should be done outside of normal business hours whenever possible.
If you will be pushing a substantial number of new projects to the COI system you may want to inactivate the A new project’s creation requires an annual disclosure update and A new project’s creation requires creation of an annual disclosure notifications until the batch project push is completed. For instructions on how to activate/inactivate notifications please see the COI - Configuration - Customize Notifications article.
