Overview
The COI Delegate functionality allows users to assign delegates to have access and complete their disclosure on their behalf. These delegates can edit the disclosure but cannot submit; that still must be done by the end user. Below outlines how to manage delegates and access disclosures you've been assigned to in Kuali Research COI.
You can enable this functionality via the 'Allow reporters to delegate preparation of their disclosure to other users. The reporter will always need to submit the disclosure' option in General Configuration. Please note, only the individual researcher can assign their own disclosure delegates or alternatively you can enable the 'Grant all COI Administrators delegate permissions' - If checked, any user with the COI Administrator role will be able to create or update any user’s disclosure in the system as a delegate.
Assigning Delegates
Once enabled, you will have the 'Manage Delegate' option in the menu options where you can assign other users as delegates and see what users you've been assigned as a delegate.
You can assign as many users as you desire in the 'My Delegates' tab via the 'Add Delegate' option. These users will have access to your COI disclosure to view and complete on your behalf. At any time you can delete assigned delegates using the trash can icon.
The 'Users Delegated To Me' will show any other users that have made you the delegate to their disclosure.
Completing a Disclosure As a Delegate
If a user has been made a delegate for another user for a COI disclosure then in the 'View Disclosures' tab you will see additional options in the 'Disclosure Designated to Me' tab. This is where you can view the history of the disclosure for users that have delegated to you for completion. If you've been assigned to more than one you can use the dropdown option to change the view to the given user.
Once you have selected the user you want to disclose for you can take all the same actions on their disclosure that you are able to take on your own from the Disclosures screen.
Once you open an editable disclosure you will have the option to "Notify Reporter" when you are finished preparing their disclosure. Once this notification is sent the reporter will have a link to get in and submit their prepared disclosure for review. You can take this action from any page of this disclosure.
