Overview
After a protocol is approved an Admin can take several actions on the protocol which is described below by the available action buttons. Be aware that when an Amendment or Renewal is initiated it creates a separate request under the same protocol number and once approved it merges the changes back into the original. Please note, only one outstanding action can be done on a given protocol. If an amendment or renewal is already initiated on a protocol the Amend and Renew action buttons will be greyed out in the existing approved protocol.
Post Approval Actions
The below describes the function of the action buttons available:
On an approved protocol the Amend button will be available if you need to make a change, modification, or addition to something on the protocol. This button will only be available to those granted full access to the protocol or an admin can initiate. Upon clicking the Amend you will be required to fill out more detail on the reason for the Amendment. Once you complete and click continue it will initiate an amendment on the protocol in which you will need to fill out the necessary information and attachments. Depending on how your institution has configured the template will dictate what information is required when completing an amendment action. Once complete you can submit the protocol for review/approval and the same available actions and functionality is available as when you initially submitted your protocol - more information on the submission/review process can be found in the 'Submitting a Protocol' and 'Reviewing a Protocol' articles.
Users with the appropriate access on the protocol can also request a renewal action to extend the approval of the protocol. Upon clicking 'Renew' button it will initiate a new outstanding protocol request. Once complete you can submit the protocol for review/approval and the same available actions and functionality is available as when you initially submitted your protocol - more information on the submission/review process can be found in the 'Submitting a Protocol' and 'Reviewing a Protocol' articles.
If enabled via General Configuration the Renew/Amend option is also available on an approved protocol if a user wants to do both a Renewal and an Amendment in the same action. This will initiate an edit on the protocol and the renewal form will be generated to complete.
As an admin you can view prior comments on the protocol by clicking on the 'Preview Comments' button. This will open a window where you can review all comments (both comments shared and those restricted as anonymous).
You will also have the 'View Admin Attachments' available which others provisioned on the protocol can also review. These allow you to see the attachments associated with the protocol as a whole (not just within the protocol action) for review. As an admin you can also see the past assignments for Committee and Reviewers by clicking on the 'View/Edit Assignments' button. This will open a window so you can reference which committee and specific reviewers were previously assigned to the protocol.
As an admin you can suspend the protocol if needed via the 'Suspend' button which will bring up an explanation window to provide a comment for the action. Upon entering a comment and clicking continue this will change the protocol status to 'suspended' and locks down the protocol from further action until the suspension is lifted. The only action buttons available are 'View Admin Attachments', 'Un-Suspend', and 'Print'. Once all items are addressed you can use the 'Un-Suspend' button to set the status back to approved. Only an admin can Suspend/Un-Suspend a protocol.
As an admin you can 'Un-Suspend' a protocol once the issues on the protocol have been addressed and it can be returned back to approved. Upon clicking the button it will bring up an explanation window to provide a comment for the action. Upon entering a comment and clicking continue this will change the protocol back to the previous status and the protocol action buttons become available again.
On an approved protocol the Request to Close button will be available if the researcher needs to request closure of a protocol. This button will only be available to those granted full access to the protocol or an admin can initiate.
As an admin you can terminate a protocol that is no longer active via the 'Close' button. Upon clicking the button it will bring up an explanation window to provide a comment for the action. Upon entering a comment and clicking continue this will change the protocol status to Closed. Once a protocol has been closed it can not be reopened.
The Print option will open the protocol in a print friendly layout in a new browser window.
