Kuali Protocols currently provides users the ability to view the latest changes that have been made on a protocol form by comparing those changes to the data entries in the prior version. As the lifecycle of a protocol continues to evolve across the span of multiple versions, users in both administrative and researcher roles have found more compelling use cases to compare a protocol and its details across any of its versions.
Kuali Protocols now offers users the flexibility to compare a protocol form across all its versions, while retaining the behavior and user interface that helped fuel the original ‘Show latest changes’ functionality.
When utilizing ‘Compare Versions’, users will have the option to select the version to compare to through a secondary dropdown version
dropdown menu.
By activating the ‘Compare Versions’ checkbox in the top right corner of the protocol information header, users are able to immediately compare their current protocol version to its preceding version. Navigating into each version dropdown menu will allow users to select any version to compare. Users will now also see the changes reflected with their version number tag (ex: v1, v2, v3, etc.) instead of the previous ‘old’ and ‘new’ tags when showing the latest changes.
In the image above, a user is able to compare the changes made on version 4 of their protocol with the data entry from version 2 with the corresponding ‘v2’ and ‘v4’ tags.
The ability to compare any version of a protocol document introduces increased flexibility options for both administrators and researchers to analyze protocols along their lifecycle, as the need for comprehensive document comparison continues to grow.
Please be aware that Protocols in a fully editable state will no longer show the changes being made on the current form when the ‘Compare Versions’ functionality is active. Rather, users can view the changes of submitted versions being compared to a separate protocol version in their submitted or finalized states. In other words, a user may be editing a ‘Version 5: Revisions in Progress’ protocol in real time but will not be able to compare it to a previous version, as the opening editing of documents no longer shows immediate changes being made on a form.
We have enabled this in all customer SBX/STG environments so you can preview the new functionality and we will be enabling it in PRD environments on August 1st.
