IP - Overview

The Institutional Proposal (IP) document is the master record for the submitted funding proposal. Administrators update the IP document with documents, updated Special Review details, or other details during the pre-award phase. Kuali automatically creates the Institutional Proposal document when a Proposal Development document status is updated to Submitted to Sponsor. Administrators can manually create an Institutional Proposal document by promoting a Proposal Log document or create an Institutional Proposal directly. When an Institutional Proposal is selected for funding by a sponsor, from an Award document, the administrator can link the Institutional Proposal document to the Award document as the funding proposal. Kuali uses information from the IP record to populate the Award document (examples include title, sponsor, proposal persons). Administrators then add and/or modify the provided information in the Award record. When an IP record in Pending status is linked as a funding source to an Award record, the IP record’s status is updated to Funded. Unlinking an IP record used as a Funding Proposal in an Award record is performed from the IP record from the Institutional Proposal Actions Tab > Funded Awards panel - more info here.

Institutional Proposal

Key proposal information is housed on the Institutional Proposal tab - some data is automatically entered by Kuali automatically if generated from the Proposal Development or Proposal Log document.

Contacts

List of project personnel and administrator contact information for the Institutional Proposal.

Supplemental Info

Supplemental Info are customized sections and data elements specific to your institution that you can easily configure for any module (including IP) to meet your business needs.

Compliance

Special reviews required for regulatory compliance can be added to the Institutional Proposal (i.e. Human Subjects, Animal Subjects, etc).

Intellectual Property Review

A record of Intellectual Property reviews; required for proposals submitted to commercial sponsors Maintained by either the Office of Sponsored Programs or the Technology Transfer office, depending on your institution’s business processes.  Adding new entries will open a separate document to enter information and then once submitted/finalized will add the information to the Intellectual Property Review tab:

Distribution

Project cost sharing and unrecovered F&A for each project year - pulls over from the Proposal detailed budget if the IP was generated from a proposal.

Attachments

Within the Attachments tab you can add any necessary attachments associated with the Institutional Proposal.  You can add desired Attachment Types in the Institutional Proposal Attachment Type maintenance table.

Institutional Proposal Actions

Institutional Proposal Data Validation, Funded Awards, Proposal Notice Generation, email notification, and routing, etc.

Summary

You can enable the Summary tab within Institutional Proposal via the ShowSummaryView parameter.  Once enabled you will see a snapshot summary of information within the IP and the option to compare the IP version you're in against another version via the Compare to Version dropdown:

There are also other associated parameters related to how the Summary will function/display:

• SummaryViewCustomAttributeIds- A semi-colon separated list of custom attribute ids to display in the summary view.
• SummaryViewAttachmentTypes- A semi-colon separated list of attachment type codes to display in the summary view.
• SummaryViewPreproposalApplicationIds- A semi-colon separated list of preproposal form application ids to display in the summary view.
• InstitutionalProposalSummaryViewHelpUrl- Institutional Proposal Summary View Help.

Also, there is the 'View Institutional Proposal Summary View Only' permission that allows you to grant access to the Summary tab only in IP so the user can only see the Summary tab but can't open the other Institutional Proposal document tabs.

Medusa

The Medusa page displays summary information for the Institutional Proposal - including the associated Proposals, Negotiations, Subawards, and Awards linked to this IP.  You can expand the record and open to view summary information or open the record in a separate tab.
