Overview
Within an award budget you can manually add line items or you can pull proposal budgets from a linked Institutional Proposal to populate the budget. The import option available on the Parameters tab of the award budget will help save time to feed forward line items. Below outlines the steps to import proposal budgets and things to be aware of the functionality.
Importing Proposal Budgets
Within the Budget Periods & Totals panel of the Parameters tab there are lookups next to each period. These icons will take you to Budget Periods lookup and allow you to select/return the desired budget period(s) to import for that given award budget period.
All budget periods from linked Institutional Proposals will display in the Budget Periods lookup. You can check any of the listed budgets by checking the Select checkbox and 'return selected' to pull into the award budget. When importing proposal budgets be aware of the following logic:
- If Award and Proposal budget start/end dates match it will feed over the line items exactly as in the proposal budget.
- If Award and Proposal budget start/end dates are completely different (no overlap) the line item start/end dates will default with the award budget period start/end dates. Which means items that were budgeted for less than 12 months (i.e. summer) will need to be manually updated. However, upon the import action the system provides a warning to the user that the line item fell outside the award period and it was updated accordingly.
- If Award and Proposal budget start/end dates overlap it will budget the portion that falls within the same period; partial dates. Which means items that were budgeted for 12 months may get budgeted for only 3 months if that's the dates that overlap; these will need to be manually updated. However, upon the import action the system provides a warning to the user that the line item feel outside the award period and it was updated accordingly.
