Subaward Attachments Feature

Background

Concerns around Subaward attachments have been a part of our community subaward working group discussion in 2019. There are several issues with the current placement of subaward attachments, not the least of which was that FDP Template Info was required to be turned on for any subaward attachment functionality to exist.

Summary of Changes

Kuali is making some improvements to address these concerns. Starting 1/31/2020, there will be 2 distinctly separate subaward attachments sections (both in the UI and in the underlying database). A panel specifically for the FDP Templates in the Template Information tab and a new tab of Comments, Notes & Attachments for all other subaward attachments. For the new tab the experience and functionality will be similar to the Award attachments tab including: notes, comments and the ability to add attachments. Any attachments in this area also include a feature many of you have come to rely on; the ability to “download all” attachments. The FDP attachments placement and functionality will stay the same. Note that any attachment added on the FDP attachments section will append to your FDP printout.

What about my current attachments?

Kuali will be migrating the attachments for you automatically (or by a provided script for self-hosted.) A soon to be depreciated parameter (Subaward_Print_Attachment_Type_Inclusion) indicates which attachments should be included in the FDP print section. Kuali will therefore know which attachments should be considered your FDP attachments. Only these attachment types will be retained in the FDP Template Info attachments section. Every other attachment will be moved into the new general subaward attachments section.

What are the database changes?

The below database tables will be created:

And adding a new column to the below table:
